MassageBook makes scheduling and managing appointments easy for both you and your clients! One way is through automated email messages that are sent to your clients when certain scheduling criteria are met. You also have the capability to customize the text of several of these email templates.
The following is a list of automated emails that MassageBook sends to your clients on behalf of your business. In order for clients to receive email notifications from your business, they must have a valid email address in the "Client Details" section their client record (Business tab > Clients).
Here's how to view the automated email settings:
- Navigate to your Business tab.
- Select Settings.
- Select Outgoing Messages.
- Select Client Messages.
Appointment Confirmation: An appointment confirmation email sends automatically to your Clients when they book an appointment online or when you book an appointment for them via your Business Schedule. You cannot resend a Confirmation email once the Appointment has already been added to your Schedule.
Note: When booking from the Business Schedule, you can elect to not send an Appointment Confirmation email by deselecting the Confirmation box on the create Appointment modal. The Where section auto-fills the Service Address i.e. the business's address for In-Office Appointments and the client's address for Outcall Appointments.
Appointment Reminder: An Appointment Reminder email sends automatically to your Clients X number of hours before their scheduled appointment time. By default, MassageBook sends the reminder 24 hours in advance of the Appointment, but you can adjust when the Reminder email sends by clicking the blue gear icon next to the "Appointment Reminder" template (see below).
Note: When booking from the Business Schedule, you can elect to not send an Appointment Reminder email by deselecting the Reminder box on the create Appointment modal. The Where section auto-fills the Service Address i.e. the business's address for In-Office Appointments and the client's address for Outcall Appointments.
Appointment Change: An Appointment Change email sends automatically when any changes are made to a client's Appointment by the business or by the client. The Appointment Change email will display the original Appointment information and the newly revised Appointment information.
Note: When moving an appointment to a new time on the Business Schedule, you can elect not to send an Appointment Change email. The Where section auto-fills the Service Address i.e. the business's address for In-Office Appointments and the client's address for Outcall Appointments.
Cancellation Confirmation: A Cancellation Confirmation email sends automatically when an Appointment is canceled by the business or the client.
Note: When moving an Appointment to a new time on the Business Schedule, you can elect not to send an Appointment Change email. The Where section auto-fills the Service Address i.e. the business's address for In-Office Appointments and the client's address for Outcall Appointments.
Appointment Missed: When marking an Appointment as a "No Show", you have the option to send a Missed Appointment email to the client. This checkbox will be selected by default on the Business Schedule if enabled in your "Outgoing Messages" > "Client Messages".

Review Request: Clients will receive a Review Request email only after they have received a service from your business, and the Appointment has been checked out in MassageBook.
Receipt: Upon checking out a client, you have an option to email a Receipt to an email address of your choice. By default, the email address displayed will match the email found under the "Client Details" section of their client record (Business tab > Client List). You have the option to modify the email address you wish to receive the Receipt at the time of checkout.
