MassageBook Manager allows you to record payments, complete appointment checkout, and make additional sales directly from the app. Depending on what you're selling, you can start a transaction from an appointment on the Schedule or use the Cash Register.
There are two primary ways to record a sale in MassageBook Manager, through Appointment Checkout and through the Cash Register.
Appointment Checkout
Use Checkout when collecting payment for an appointment that's already on your Schedule. During checkout, you can collect payment for the appointment, apply eligible client credits, add additional items to the sale, record a tip, and send the client a receipt.
Cash Register
Use the Cash Register when recording a sale that isn't associated with an existing appointment. For example, you can use the Cash Register to sell: Products, Gift Certificates, Prepaid Services, Prepaid Series.
Checking Out an Appointment
To begin checkout for a scheduled appointment:
- Select Schedule.
- Select the appointment you want to check out.
- Select Checkout.
If you're using Agenda view, you can also swipe right on the appointment to access the checkout option.
Before selecting a payment method, review the items included in the sale and the total amount due.
Adding Items and Adjusting the Sale
Additional items can be added while checking out an appointment. Select Add Item to add eligible items such as Services, Products, or Promotions to the transaction.
Note: A Service added during checkout is added to the client's record as a prepaid Service credit that can be used toward a future appointment.
You can also select Edit Total to make eligible adjustments to the transaction, such as applying a discount or exempting the transaction from taxes.
Once the sale is correct, select Next to choose how the client is paying.
Selecting a Payment Method
MassageBook Manager supports several ways to record payment. The options available to you may depend on your payment processor and business setup.
Cash - Select Cash to record a cash payment. Enter the amount the client paid, including any applicable tip.
Check - Select Check to record a check payment. You'll be able to enter the check number and the amount paid, including any applicable tip.
Gift Certificate - Select Gift Card to redeem an eligible Gift Certificate toward the transaction. Enter the Gift Certificate code and the amount being applied.
Other - Select Other when you need to record a payment method that isn't represented by another available option. Customize the payment description, and the amount paid, including any tip.
Credit or Debit Card - Select Credit or Debit Card to record a payment using a client's credit/debit card.
Credit or Debit Card Payments
If you use MassageBook Pay, select Pay with credit/debit card to process the client's card.
Depending on your setup, you can:
- Use a connected card reader: Connecting the M2 Reader to MassageBook Manager
- Use Tap to Pay: Taking Payments with Tap to Pay (Mobile)
- Charge a card saved on file: Charging a Card on File (Mobile)
- Manually enter the client's card information.
Follow the onscreen prompts to complete the card payment.
With MassageBook Pay, you can also choose to save a client's card for future payments when manually entering their card information during an eligible transaction: Saving a Card on File during Checkout (Mobile)
Square
If your business processes payments through Square, select Pay with Square during checkout. Depending on your Square setup, you can accept payment using:
- A connected Square reader
- Tap to Pay
- An eligible card on file
- Square App Switch
Card-on-file behavior differs when using Square. Square cards are managed through the client's associated Square customer profile. Card information saved in Square can be linked to the corresponding client record in MassageBook: Can I Use my Square Devices, Cards on File, Gift Cards etc. with MassageBook?
Your available checkout options may differ depending on how your Square integration is configured: Checking Out an Appointment with Square
Applying Client Credits
Before collecting payment, check whether the client has an eligible credit that can be applied during checkout:
Store Credit
If a client has Store Credit available on their record, select Store Credit as a payment method to apply it toward the amount due. If Store Credit doesn't cover the entire balance, you can record another payment method for the remaining amount: Applying Store Credit During Checkout (Mobile)
Membership Credits
If a client has an eligible Membership credit for the Service being checked out, MassageBook Manager can apply the credit during checkout. The oldest eligible Membership credit is applied automatically. If multiple eligible credits or discounts are available, you can choose which one to apply: Applying a Membership Credit during Checkout (Mobile)
Recording Tips
How the tip is entered depends on the payment method and your Checkout Settings. For payments recorded as Cash, Check, Gift Card, or Other, include the tip in the amount paid. For eligible credit or debit card payments, the client may be prompted to select a tip as part of the payment process.
If an appointment is prepaid, you can select Additional Tip and record a tip payment using the client's desired payment method.
Note: Available tipping options may vary depending on your payment processor and Checkout Settings.
Recording Sales Through the Cash Register
The Cash Register can be used to record purchases that aren't associated with an existing appointment. Services, Series, and Promotions sold through the Cash Register will be added as prepaid credits to the purchasing client's account. You can use the Cash Register to:
- Sell Products: Selling a Product (Mobile)
- Sell Services and Series: Selling a Prepaid Service or Series (Mobile)
- Sell Promotions: Selling a Service Promo Through the Cash Register (Mobile)
When selling an item for a specific client, make sure the correct client is associated with the sale so applicable purchases and credits are added to their record.
Issuing a Refund
If you need to return payment from a completed transaction, refunds can be initiated from the client's previous sales activity in MassageBook Manager: Issuing a refund to a client (Mobile)
The available refund options depend on the original transaction and payment method.
