Understanding the Icons on Appointments

The icons on appointment blocks denote important information about a client's appointment, allowing you to prepare ahead of time with just a quick glance of your Business Schedule.  

What's included? The client's booking source, if it's a new client, if and how the client prepaid online, if the client selected any contraindications or medications on the intake form, if notes or reminders have been added to the appointment, and if the appointment is part of a recurrence. Each icon and what it indicates is listed below.

Client Booked via the MassageBook Search Directory:

New Client: MassageBook uses the listed email address for each client as his or her unique identifier to determine whether the client is existing or new. By MassageBook's definition, a new client is someone who books online using an email not on file in your client list. If a new client books through the search directory, the appointment is subject to a service fee.

Existing Client: An existing client booked through your MassageBook directory listing or through their personal client account. The appointment is not subject to a service fee because the client already exists in your client list. 

Client Booked via Facebook:

New Client: A new client booked through your Facebook business page using Facebook Connect. An appointment booked through this source is not subject to a service fee because the client booked as a result of your own marketing efforts.  

Existing Client: An existing client booked through Facebook Connect. 

Client Booked via an External Source:

New Client: A new client booked through an external source such as the website integration tools or your MassageBook Business Website Address. An appointment booked through this source is not subject to a service fee because the client booked as a result of your own marketing efforts.   

Existing Client: An existing client booked through an external source such the website integration tools or your MassageBook Business Website Address. 

Client Booked via an Email Campaign:

Existing Client: An existing client booked through an email campaign you sent. 

Note: A booking source icon does not appear on the appointment if it's booked by the business. 

Prepaid Appointments:

New Client Paid with Credit Card: A new client prepaid online with a credit card at the end of the online booking process. 

Existing Client Paid with Credit Card: An existing client prepaid online with a credit card at the end of the online booking process. 

New Client Paid with Gift Certificate: A new client prepaid online with a MassageBook-generated gift certificate code at the end of the online booking process. 

Existing Client Paid with Gift Certificate: An existing client prepaid online with a MassageBook-generated gift certificate code at the end of the online booking process. 

Client Intake Form Indicators:

Contraindications: A "C" denotes that the client selected an existing condition on the the intake form. The contraindication(s) displays when you view the appointment details clicking on the block and selecting Edit. 

Medications: An "M" denotes that the client added a medication on the intake form. The medication(s) displays when you view the appointment details by clicking on the block and selecting Edit. 

Appointment Notes:

A text box denotes that the business added a reminder to the appointment or that the client left a note during online booking. Click the appointment block to view the notes in the side menu that appears. 

Recurring Appointment:

The circular arrows denote that the appointment repeats based on specified criteria set by the business. 

Appointment with Multiple Services:

A plus sign to the right of the service name denotes that more than one service is booked. Click the appointment block to view all services in the side menu that appears.
